Grip is an AI phone receptionist for trades and small businesses. Grip is operated by GRIP AI LTD (company number 17366923), a company registered in England and Wales, at 46 Woking Road, Poole, BH14 0BZ. For anything about your data, contact us at hello@gripai.co.uk. We are the data controller for your account, and a data processor for the call data we handle on behalf of your business.
Account details you give us (name, business name, contact details and billing information). Call data we handle on your behalf: caller phone numbers, transcribed conversations, bookings, enquiries and messages. If you connect a calendar, the availability and booking information needed to schedule jobs. Basic technical logs needed to run and secure the service.
We keep a written transcript of each call, not an audio recording. Transcripts sit on your dashboard so you can see what was said.
To answer and handle your calls, capture enquiries and messages, book jobs into your diary, send confirmations and reminders, alert you to jobs and messages, take payment for the service, and keep the product working and secure. We do not sell your data, and we do not use it for advertising.
If you connect a Google or Microsoft calendar, Grip requests access to your calendar so it can check your availability and create or update bookings on your behalf. Grip only uses this access to provide the booking feature.
Grip’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: we only use your Google Calendar data to provide the booking feature you have signed up for; we do not transfer this data except as needed to provide the feature, to comply with the law, or as part of a merger or acquisition; we do not use it for advertising; we do not sell it; and we do not allow humans to read it except with your explicit consent, where needed for security or to comply with the law, or where the data has been aggregated and anonymised. The same principles apply to calendar data we receive from Microsoft.
Use of AI. Grip uses AI to run its phone service, but we do not use your Google Workspace or Google user data (including your Google Calendar data, and any data derived or aggregated from it) to develop, train, or improve any generalised or foundational AI or machine-learning models, whether our own or a third party’s. Calendar data is used solely to check availability and create, update or cancel bookings for you.
You can disconnect your calendar at any time from your dashboard, which stops all further access.
We never sell your data. We share it only with the suppliers needed to run the service, and only so far as they need it: Twilio (telephony), ElevenLabs (AI voice), Supabase (database and authentication), Cloudflare (hosting and content delivery), Stripe (Direct Debit and card payments), Resend (email), and Google or Microsoft (calendar, where you connect one). We also share data where the law requires it. Each supplier is bound to protect your data and use it only to provide their service to us.
We protect your data, and sensitive data such as connected calendar data, with appropriate technical and organisational measures. All data is encrypted in transit (TLS) and encrypted at rest by our infrastructure providers. Access to production systems and customer data is restricted to authorised personnel who need it, protected by authentication and access controls, and calendar access tokens are stored securely and used only to provide the booking feature. We keep the data we hold to the minimum needed to run the service, and you can revoke calendar access or delete your account and its data at any time from your dashboard.
We hold your data for as long as your account is active. When you close your account, we delete your account and its data within 30 days, except where we are required to keep certain records (for example billing records) for longer by law. You can also delete your account and its data yourself from the dashboard at any time.
Under UK GDPR you can ask for a copy of your data, correct it, restrict or object to its use, or have it deleted. Contact us at hello@gripai.co.uk. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk).
We may update this policy from time to time. If we make a material change, we’ll let you know. The date at the top shows when it was last updated.
